Job Title: Administrator/Receptionist
Salary: Depending on experience,
No of hours per week: 20,
Hours of Work: 12:00pm till 4:00pm, Monday to Friday,
Contract type: Permanent,
Location: Near Witney.
We are looking for an Administrator to assist with ensuring administration, financial, office systems
run smoothly and that all telephone calls to the office are answered promptly and efficiently.
Ordering of stationary and computer supplies,
Posting of packages and envelopes at the post office,
Updating Health and Safety procedures,
Logging of staff sickness,
Purchasing of supplies,
Initiate and implement new administration systems when required,
Reformatting of reports requiring an advanced level of word skills.
Entering of petty cash supplies on spreadsheet,
Entering of new invoices onto jobs spreadsheet and recording invoices that have been paid,
Ensure jobs monitoring spreadsheet formulae is up to date and functioning correctly,
At the end of the month prepare invoices as requested by other staff
Chase up overdue invoices for payment by email/and or telephone as requested by the Directors.
Answering telephone calls and taking messages,
Stamping and distribution of post-in,
Keep reception and filing areas tidy,
Cleaning of the offices.
Experience and skills required:
Microsoft office suite including Email, advanced Word, and intermediate Excel skills.
Polite telephone manner.
At least 2 years’ experience in a similar role.
Ability to fit into a sometimes stressful working atmosphere.
Ability to accommodate quiet periods when phones are quiet and workload is low.
Ability to prioritise tasks during stressful periods.
